Editing the wording of a letter

You can edit the words in any letter yourself. A change is saved as a new version and only goes live once you approve it, so nothing on a resident's letter changes by accident.

  1. 1In the menu, click Letters, then Templates at the top.
  2. 2Under Blocks, find the letter you want to change (for example the introduction or appointment letter) and open it.
  3. 3Edit the wording in the editor. You can drop in the merge fields shown (like the resident's name or the appointment date) and they fill in automatically on each letter.
  4. 4Click Save as new version. Your change is saved as a new draft, it is not live yet.
  5. 5In the version list below, click Record approval on your new version, enter who approved it, and confirm.
Your new wording is now live. Every letter created from now on uses it. Letters already sent are unchanged.

Some letters are sent in stages, the introduction and appointment letters each have a separate template for the 1st, 2nd and 3rd attempt, labelled Stage 1 / 2 / 3. Open and edit the one for the stage you want to change, each stage is edited on its own.

Saving alone does not change live letters. Approval is the step that makes a version go out, until you approve, letters keep using the last approved version.
